Hankinnan lyhyt kuvausAalto University is looking to procure one partner to be responsible for media monitoring services that meet the following absolute requirements. 2 Absolute Requirements for the Service a) Online and social media monitoring. 1. Social media and editorial media tracking should be connected to the same portal. The system must be fully browser-based and have a responsive mobile-friendly interface. The following browser versions and newer versions of the same browser must be supported: Chrome 50, Edge 15, Firefox 60, IE 11, Safari 11 Android Webview 77. 2. The service must include a license for 40 users (20 administrators + 20 basic users). It must be possible to purchase additional user licenses id needed. 3. The system must have instructions in either Finnish or English. The provider undertakes to train the subscriber free of charge. 4. The list of media sources used by the Service must be updated regularly so that the information is constantly updated. Adding / excluding individual media or social media accounts is free of charge. 5. The following social media channels shall be used as global sources for continuous social media monitoring: • Twitter • Facebook • Instagram • YouTube • Blogs (at least 5 million sources) • The Finland 24 forum • News commentary on news from HS, YLE, Talentum and MTV3 6. At least the following sources shall be used to monitor editorial media: • All major domestic editorial online media content that is openly accessible online. Also includes open, machine-readable magazine print editions. There should be at least 4500 sources. • International monitoring includes key editorial online media open content from at least the following countries: all European countries, Russia, China, India, the United States, Canada and South Korea. It must be possible to monitor the international media coverage of Aalto University in different languages. There is no need to translate the hit into English, but the subscriber must know that the hit has been in the media. There must be at least 300,000 sources globally. 7. There is no limit to the number of keywords or searches that may be changed, deleted or added during the service, free of charge. 8. The system has advanced search technology. The search should use boolean technology to find and restrict hits so that it is possible to add and, or, near and not attributes to the search. 9. The generated search results view must have data visualization features and filtering options to enable quick analysis without creation of separate dashboards or reports. 10. The system can automatically submit a news tracking report and a social tracking report by email to the licensed user by 8 am each morning. In addition, the system should be able to send an automated report by email to an unlimited number of unlicensed users at the desired time of day and day of week. In addition, the system must be able to send news and social hits by email instantly if needed. The report recipients and licensed users can be updated free of charge during the service. Reports can also be customized to a different set of recipients. 11. Monitoring reports shall disclose the following information: • Titles and sample text of the hit around the search term • Source and link to the original article 12. The maximum number of hits to report on social media and editorial media is at least 2000 hits / day at no additional cost. 13. The subscriber has the option of viewing and retrieving hits retroactively for at least 10 years for online news media and 1 year for social media. The offer should include information about how long it is possible to view the hits. 14. The results of the monitoring can be automatically published for logged in users on the Aalto University website as a news feed (e.g. RSS feed). 15. The system has the ability to display a summary of media visibility and social media visibility. The summary must show at least visibility volume, sentiment, estimate of reached audience, comparison to previous time periods, media types, sources, and geographical data. 16. The system must support customizable dashboards that can be tailored to different end-users needs. 17. The system must support sharing of built dashboards/custom reports to non-licensed viewers via a direct (URL) link. 18. The system must support unlimited data export on a hit-level without additional charge. Export of at least 15000 rows per export must be supported. The data must be exported in such a manner that the data can easily be opened and processed in a spreadsheet format (Microsoft Excel, Google Sheets). 19. The Service includes free support for use. We have a designated contact person throughout the contract period. We have a direct line to the contact person who can assist with setting up searches and reporting immediately in a crisis situation. There should also be a direct line to a back-up person or team, if the designated contact person is unavailable. Setting up the search during the deployment phase is free of charge. b) Monitoring of digital editions of magazines 1. At least 200 sources from the home country should be included in the monitoring. 2. The system can automatically submit a news monitoring report to the licensed user by 10 am each morning. The newsletter recipients and licensed users can be updated free of charge during the service. 3. The monitoring reports shall contain the following information: • Titles and sample text of the hit around the search term • Link to the article in the digital edition of the magazine. The article must be accessible and readable to the licensed user, in its original article format 4. Keywords used in the monitoring may be changed, removed or added at no cost and there is no limit to the number of search terms. 5. The list of media sources used by the Service is updated regularly so that the information is constantly updated. Adding / excluding individual media or social media accounts is free of charge. 6. The feature should be available as a part of the online and social media monitoring licenses. c) Journalist Database 1. At least 5000 domestic journalists should be included in the database 2. At least 300.000 journalists globally should be included in the database 3. Ability to search the journalist database according to specific topics, language, recency and other criteria and create reusable lists. 4. Ability to track and understand how emails sent to the created lists are opened and engaged with.
